How to Specify Custom Paper Napkins for U.S. Wholesale Programs

For U.S. wholesalers, private-label brands and retail buyers, a paper napkin quote is only comparable when ply, folded and open size, paper specification, printing, fold, pack count and intended use are defined.

This guide helps buyers prepare a quote brief, approve a physical sample and review evidence without assuming that one reference sample or report applies to every future SKU. See the current custom paper party napkins wholesale program for the product-level sourcing route.

1. Specify both folded and open dimensions

Napkin size names are not enough for an accurate comparison. State the finished folded dimensions, the fully opened dimensions and the preferred fold. Confirm whether the napkin is intended for cocktails, desserts, lunch, dinner, coordinated place settings or a party kit. These decisions affect artwork layout, pack presentation and the buyer’s expected use.

2. Define ply, paper and performance expectations

Specify the required ply and describe the intended feel and use. Ask the supplier to confirm the proposed paper specification rather than relying on adjectives such as “premium.” If absorbency, softness, wet strength or another performance characteristic matters to your channel, include it in the sample checklist and order specification.

3. Lock the print and artwork route

  • number of designs and quantity per design;
  • print coverage, color target and artwork dimensions;
  • edge, fold and orientation requirements;
  • whether artwork is buyer-owned, original or properly licensed;
  • acceptable color reference and approval method;
  • how the approved artwork version will be controlled for production.

A digital proof confirms layout, but a physical sample is needed to judge color on the selected paper, fold alignment, feel and pack presentation.

4. Request MOQ by SKU and packaging configuration

MOQ may be affected by printing setup, paper purchasing, the number of designs, pieces per pack and custom retail packaging. Ask for MOQ per artwork or SKU, total program quantity, packaging MOQ and the assumptions used for each price tier. If napkins are coordinated with plates and cups, submit the complete component and quantity plan. Use the party-supplies MOQ and pricing guide to compare like-for-like configurations.

5. Approve the physical sample and pack-out

Identify whether the sample is an existing reference, digital mock-up, pre-production sample or production sample. Review:

  • folded and open dimensions;
  • ply, paper feel and performance under the agreed use;
  • print position, color expectation and fold alignment;
  • odor, cleanliness and visible defects;
  • pieces per pack, bag or box, barcode and label position;
  • case pack, carton protection and shipping marks.

6. Match evidence to the actual napkin and market

Do not treat a factory certificate as automatic proof that every printed napkin meets every U.S. buyer requirement. Tell the supplier the intended use, destination market and retail or ecommerce protocol. Ask what evidence applies to the proposed paper, inks, components or submitted sample; whether further testing is required for the final specification; and how the approved material and production lot will be identified.

Damai Party publishes its factory certificates and product-test scope with limitations. Review the certification and product-evidence boundary, then request only the documents relevant to the exact napkin program.

7. Confirm production controls before ordering

Agree on the approved artwork and sample, material, dimensions and tolerances, fold, pack count, in-process checks, final inspection, carton markings and the process for reporting deviations before shipment. The factory and quality-control workflow explains the steps a buyer can review during supplier qualification.

8. Send a decision-ready RFQ

Include company and channel, destination, intended use, folded and open size, ply, paper expectation, artwork status, quantity per design, pack count, retail packaging, barcode and carton needs, evidence requirements, sample route and target delivery date. Mark undecided items so the supplier can recommend options instead of guessing.

Paper Napkin specification and sourcing FAQ

What is the MOQ for custom printed paper napkins?

MOQ depends on paper, printing, the number of designs, pieces per pack and packaging. Send quantities by design and the complete configuration for an order-specific answer.

Should I specify folded size or open size?

Specify both, together with the fold and intended use. This removes ambiguity from artwork placement, pack presentation and quotation.

Can I approve a physical napkin sample?

Yes. Confirm the sample type and which production details it represents. Review dimensions, ply, feel, print, fold alignment, pack count and packaging.

What compliance evidence should a U.S. buyer request?

Request evidence relevant to the selected paper, inks, components, intended use and final specification. Confirm the scope of each report and whether additional order-specific testing is needed.

Can napkins be coordinated with plates and cups?

Yes. Provide the artwork system, SKU list, quantities, pack format and color reference so the supplier can review the collection as one program.
