2. Ask for an MOQ that matches the actual configuration
MOQ is affected by printing, material purchasing, the number of designs, pack format and production setup. A supplier should not present one universal MOQ as if it applies to every custom plate project.
Send your target quantity and ask the factory to separate:

- total program quantity across coordinated designs;
- packaging MOQ if custom printed packaging is required;
- quantity assumptions used in the quotation;
- what can be standardized to create a lower-risk first order.

3. Use a physical sample to approve the product—not only the artwork
A digital proof can confirm layout and text, but it cannot show stiffness, coating performance, color on the selected material, plate formation or retail-pack quality. A decision-ready sample review should cover:
- finished diameter and forming consistency;
- print position, color expectation and visible defects;
- rim shape, stiffness and resistance during intended use;
- odor, surface cleanliness and packaging condition;
- pieces per retail pack and barcode placement;
- master-carton quantity and protection during transit.
Ask the supplier to identify whether the sample is an existing reference sample, a digital mock-up, a pre-production sample or a production sample. Each serves a different decision.
4. Request compliance evidence matched to the exact plate
Do not accept a folder of unrelated certificates as proof that a specific paper plate is suitable for your market. Evidence should be matched to the material, coating, inks or other relevant components, the finished article where applicable, the destination market and the production route.
For a U.S. program, give the supplier your sales channel and any buyer-specific protocol. Ask:
- which report or declaration applies to the quoted material and construction;
- whether the report covers a component, a material family or the finished article;
- whether additional testing is required for the final specification or retailer;
- how production lots and approved samples will be identified;
- which sustainability claim, if any, can be supported by transaction documents.

- how deviations are reported before shipment.

6. Confirm production lead time by building backward from the required date
A responsible production lead time cannot be confirmed from quantity alone. Artwork approval, sampling, packaging development, material availability, testing requirements, production capacity and shipping method all affect timing.
Provide both the desired launch date and the latest acceptable delivery date. Ask the supplier to separate:
- brief and specification confirmation;
- artwork and sample preparation;
- sample review and revision allowance;
- bulk production after approval;
- inspection, packing and shipment preparation;
- transport time and contingency.
7. Send a quote brief that a factory can act on
To receive a useful response instead of a generic price list, include:
- company name, buyer type and website;
- destination market and sales channel;
