Sourcing party supplies from China works best when the buyer treats the project as a controlled specification—not a catalog-price exercise. This guide explains the decisions a U.S. wholesaler, retailer or ecommerce brand should confirm before sampling and bulk production.
1. Prepare a Quote-Ready Brief
- Product type, dimensions, material and intended use
- Artwork or reference direction and proof that you may use it
- Quantity per design and expected annual volume
- Retail pack count, barcode and master-carton requirements
- Destination market, sales channel and required delivery date
- Food-contact, children’s product, retailer or marketplace requirements

2. Verify the Supplier Entity
Match the legal company name on the business license, quotation, bank beneficiary, audit reports and certificates. Ask for a live or recorded factory walkthrough and clarify which processes are performed in-house and which are subcontracted.
3. Confirm MOQ by Configuration
MOQ varies with material availability, printing setup, die-cutting, component mix and retail packaging. Ask the supplier to explain the production constraint behind the number and whether a semi-custom route can reduce first-order risk.
4. Approve a Physical Sample
Confirm color, dimensions, paper or film specification, coating, print registration, assembly and packaging against a written specification. Sampling method, cost and timing should be stated in the quotation; they are not identical for every SKU.
5. Match Compliance Evidence to the SKU
Factory certificates and product test reports answer different questions. A certificate does not automatically approve every product, and a report for one submitted sample does not automatically cover another material or production batch. Review the final components, intended use and destination market before deciding whether existing evidence applies or new testing is required.
6. Define Quality Controls
Agree on incoming-material checks, approved artwork and sample, inline checkpoints, final inspection method, defect limits, carton marks and record retention. Third-party inspection can be added when required by the buyer.
7. Confirm Current Shipping and Marketplace Rules
Freight rates, duties, marketplace prep rules and carrier restrictions change. Obtain a current quotation and verify Amazon, retailer or logistics requirements against the buyer’s own account before production.

Commercial Terms to Get in Writing
Before you approve artwork, ask every supplier to put these terms in writing. For reference, Damai Party’s current terms are:
- MOQ: 1,000 sets per design, or 500 sets per design when you order four or more designs (counted in finished sets; one party kit is one set).
- Samples: existing designs and simple constructions are free; complex or custom samples are charged at actual cost; the buyer covers courier freight. Simple samples take about 7 days after design confirmation.
- Production: 25–30 days after the deposit is received and the design is approved, confirmed in writing based on order quantity.
- Payment: TT 30% deposit, 70% before shipment.
